Hot desks, also known as hoteling, is an office-space management strategy designed for unassigned desk spaces. In this strategy, various employees utilize the same hard phones.
Hot Desking: Office spaces that are unassigned and employees can use on a first-come, first-served basis.
Hoteling: Office spaces that can be reserved in advance for use.
Why use hot desking?
Organizations often implement hot desking or hoteling for the following reasons:
- They have a significant number of part-time staff.
- Employees rotate between multiple locations.
- There are many remote workers who occasionally need an in-office space.

Press 2 to Confirm
Regardless of whether the phone currently has an owner, you will always need to press 2 to confirm that you are logging in.
Device with an Owner
If you log in to a device that has not been logged out of, the voice prompt will say, “The owner is (extension number), to change owner press 2.” You will hear an extension number as the owner, for example, "the owner is 123."
Unassigned Device
If you log in to an unassigned device, the voice prompt will say, “The owner is…, to change owner press 2.” You will hear a pause of silence instead of an owner’s extension number.
Log in to a Hot Desk
The steps below are only applicable if your organization has hot desking enabled.
- Press the Login softkey.
- Enter your extension number through the dial pad (referred to as "account number" on voice prompts).
- Enter your PIN (this is the same PIN used to access your voicemails, it is called "password" on voice prompts).
- Press the pound key (#) after you have entered your PIN.
- Press 2 to confirm (called, “change owner” on voice prompts).
Log out of a desk phone
To log out, press the Logout soft key (depending on your device's configuration, you may or may not see this key; if you do not see it, press the More soft key first).
